Hotel Policy

  • Confirmed dates /days may be altered, cancelled or cut short only if intimation in writing reaches the company, 15 days prior to the check in date.
  • 50% refund will be issued if the cancellation is affected between 30 & 15 days prior to the check in Date.
  • No refund / No postponement if the cancellation is affected 15 days prior to the check in date.
  • In case of Natural Calamity / Strike / Political Disturbances, if Roads remain open – the above Cancellation Policy will be applicable.
  • Food menu as per availability of vegetables based on Buffet | Fixed menus
  • Check in and Checkout Timing of the Hotel will be according to the timing of the respective Hotels.

Child Policy

  • Child below 5 yrs. complimentary Hotels and Local Transportation
  • Child 5 -12 yrs. with or without extra bed rates as per hotel policy
  • Child above 12 Years is considered as adult

Booking Policy

  • We do not hold any rooms. All quotes are subject to availability. We check for the availability before asking for the payment. Even so, sometimes rooms may get sold out while the booking process in on. In such circumstance, we will refund the full amount or offer alternate hotel in the same or higher category. There might be a price difference.
  • Room allotment is solely the prerogative of the hotel. We cannot promise adjacent rooms, any specific floor, view etc. If any specific room is required, it must be informed before the booking.
  • We encourage emails onlyfor all the communications. We shall not be held responsible for any errors for the bookings done over the phone / message / WhatsApp.
  • Minimum 5000/- Per Person will be deducted from the total tour package cost/trip cost booked with us against our consultation charges and service fee, in case of any kind cancellation from the customer side in any case.
  • No changes in the date of travel once booked.

Cancellation Policy

  • Cancellation Prior to 90-45 days or more – 40% of tour cost.
  • Cancellation Between 44-31 days of departure – 50% of tour cost
  • Cancellation Between 30-11 days of departure – 75% of tour cost.
  • Cancellation Within 0-10 days to date of departure – 100% of tour cost
  • There will be no retention charges for Hotel Bookings/Transportation if cancellation is done within 40 days prior to arrival of guests. After that 100% retention. This Cancellation Policy will be applicable only during Diwali and Christmas Periods for the groups.
  • Note:-
  • Guide can be arranged at an extra cost.
  • There will be no refund for any unutilized services.
  • All guests must provide us the ID (Aadhar) and photo for preparing the Inner Line Permit.
  • Extra bed or mattress will be provided as per the hotel policy.
  • Room heater can be hired directly from the hotel. Hotels usually charge Rs. 500 per night.
  • Cost is net & non commissionable.

Luggage Policy (Important)

  • Per Person one piece of luggage is allowed. Overloading is not allowed and the driver will refuse excess baggage. Any police challan on overloading will be borne by the client.
  • In case of group movement, it is recommended that the client hires an additional luggage vehicle.

Vehicle & Driver Policy

  • We cannot guarantee any particular brand of vehicle, irrespective of the booking period. In SUV category, we provide Innova / Xylo / Scorpio / Honda BRV or any such vehicle. In Small vehicle category, we provide Swift Dzire / Etios / WagonR or any other such vehicle. Small vehicles do not have overhead carrier.
  • Tempo Traveller does not have overhead carrier. 17-seater variant does not have either the arm-rest or recline.
  • We advise the guests not to engage with the drivers for any itinerary advice. They should always check with the tour operator in case they wish to add or deviate from the given itinerary. Never get into a confrontation with the driver. Maintain a calm demeanor and friendly attitude, which will improve the overall experience of the tour.
  • ACs do not operate in the hills and it will be switched off. Drivers generally agree to switch on for a limited time for a small fee, which must be settled directly.

Lost, Misplaced & Stolen Goods

  • Client is responsible for his/her belongings like mobile, jacket, sunglass, charger, cash etc. It is extremely difficult to recover anything that is left behind and we advise that the client should always recheck before leaving the vehicle. 
  • We will not accept any complaint of theft against the driver or the hotel staff. Any such complaint must be directly lodged at the nearest police station.

Lifts / Elevators

  • Most of the hotels do not have a lift. Guest will have to walk up the steps. In case the guest requires lift facility or a lower floor room, it must be clearly instructed while booking.

Important Note

  • Above are suggested itineraries. The right is reserved to cancel or alter any itineraries as circumstances may require. We should not be held responsible for any unforeseen conditions like road block, strike, riots, illness, and accidents.

  • Quotes for flights/helicopters/hotels/transport/visa/foreign exchange/holiday packages are subject to availability and current rates of that day.  Should you have any queries, feel free to get back to us. We shall be glad to hear from you.
  • The above itinerary is suggested Tour Plan. The Company is responsible for only those services which are charged from the guest. All other services which are not paid by the guest to the Company are Suggested services and Company is nowhere bound to provide that service or pay the cost for the same.
  • Company is not responsible for compensating any loss or additional cost incurred by the guest while taking the tour.
  • Company is not responsible, nor liable for any damage, loss or injury caused to any passenger while taking the tour.
  • Dollar rates are applicable only to Foreign nationals & Indians possessing foreign passports, while the INR package rates will be applicable to Indian nationals.
  • All the disputes are subject to Pune Jurisdiction only.
  • Any Claim related to the Package must be brought to the notice of the Company within a week.
  • If the Company is unable to provide accommodations at the booked hotels due to natural or unavoidable circumstances that interrupt the expected course of events, the clients will be provided with equivalent or higher category accommodations.
  • No Refund or Compensation for any unused services or transport in any kind of circumstance.
  • Air fare cancellation / rescheduling charges depend on airline policy.
  • The above-mentioned rates are just a quote only, rates may vary on confirmation.
  • The above-mentioned Air-Fare, Seats and Taxes are subject to Availability and not Guaranteed until Ticketed.
  • We request you to go through the ticket(s)/document(s) once issued and get back to us in case of any error(s) the same day. We would not be held responsible for any error(s) reported later than the same day.
  • Air Tickets Issuance / Hotel Bookings / All Travel Arrangements would be done after the NEFT/Cheque/Fund Transfer has been received and credited in our bank account, and hence we would not liable for any price hike during payment process time.

  • We work as a facilitator to you in case of Visa processing on behalf of you, Visa approval and rejection depends on the related embassy/consulate, hence we are not liable for any visa application rejection.
  • In case of Visa rejection from the embassy, package booked would not be considered cancel and Avdhoot Tourism Pvt Ltd would not be held liable to refund the booking amount or postpone the travel dates due to any visa rejection or late approval.
